Grubhub offers the most robust built-in tax exempt solution of any meal perks platform.

Organizations within the education, non-profit, government sectors, and beyond who are eligible for tax exemption can benefit greatly from our automated processing system.

Once a certificate has been uploaded to the Exemption Certificate Portal, the tax exemption approval process typically takes 1-3 business days. You will then receive an email on the status of your certificate. If approved, your Client Success Manager will enable your tax exemption status so you can manage certificates in your Grubhub Corporate account.

Managing Certificates

  1. Log into grubhub.com and click on the person icon in the top right of your screen, then click Business account.
  2. For a quick overview, take our virtual tour to see how to manage and upload exemption certificates. (Please be sure to log in before taking the virtual tour.)
  3. Hover over Company details in the navigation bar and click on Tax exemptions. Note: This dropdown option will only appear if your exemption status is approved and set up with your Client Success Manager.
  4. Here, you can view all your exemption certificates, which states they are active in, their status and expiration dates.
  5. If the status of your certificate(s) is anything other than Current, you will need to update your certificate(s). Here are the unique certificate statuses and what they mean:
    • Current: Tax exemption status is active.
    • Expiring: Certificate expires within 90 days, please upload a new certificate for approval.
    • Expired: Certificate is expired. To reinstate tax exemption status for this instance, please upload a new certificate for approval.
    • Rejected: Certificate is not approved, please review certificate and re-upload.
    • Untracked: Certificate is being verified, you will receive a confirmation email once approved.
    • Renewed: Certificate is replaced with an updated certificate.
  1. To manage and upload your exemption certificates, click the hyperlink under Manage your certificates to access the management portal.

  1. Here, you can then access our partner’s (TTR) Exemption Certificate Management System to upload, request and manage your exemption certificates.
  2. You will need to provide valid exemption certificates for every state in which you are tax exempt in.
    • If there is no certificate on file for a state, all orders placed from restaurants from that state will include taxes.
  3. Once uploaded, the approval process for new certificates typically takes 1-3 business days. You will then receive an email on the status of your certificate.
  4. Once approved, you can then view your exemption certificates in your Grubhub Corporate account.

 

Invoicing

  1. Log into grubhub.com and click on the person icon in the top right of your screen, then click Business account
  2. For a quick overview, take our virtual tour to see how to manage and upload exemption certificates. (Please be sure to log in before taking the virtual tour.)
  3. To access your invoices, hover over Billing in the navigation bar and click on Invoices.
  4. Here, you can view and download PDF, CSV versions of your company invoices.
  5. PDF – Summary invoices will show total tax exemptions per order type and are automatically removed from your invoice total.

  1. PDF – Detailed invoices will show tax exemptions for each individual order (in addition to the total tax exemptions detailed on the first page), where taxes are automatically removed from your invoice total.

  1. To also receive the Summary invoices via email, hover over Billing in the navigation bar and click Invoice Recipients. Fill out the corresponding information fields and click Add recipient.
  2. Invoice frequency is automatically set to monthly; this can be adjusted to weekly or bi-weekly by contacting your Client Success Manager.

 

Placing Meal Orders

Taxes will automatically be removed from company invoices and order totals at checkout for all eligible company orders, including:

    • Individual meal orders (must use meal credits)
    • Group orders
    • Catering orders
    • Scheduled Team Orders

To ensure your orders are eligible for tax exemption, please review the following requirements:

    • The entire order or part of the order must be paid with a corporate meal credit.
      • Orders that are partially paid with a corporate meal credit will still have taxes fully removed from the entire order.
    • Delivery location is in an eligible state for your Grubhub Corporate account’s tax-exemption.
    • Person placing the order must be logged in as a Grubhub Corporate user within a tax-exempt corporation. This is typically the person’s business email address.
    • Orders containing alcohol are not eligible to be purchased using a meal credit. Because of this restriction, no orders containing alcohol will be eligible for tax-exemption.
    • Grubhub+ subscriptions are not eligible to be purchased using a meal credit and are therefore not eligible for tax-exemption.
    • Taxes are only removed for states in which your organization has valid tax-exempt certificates for the client.
      • Please note: restaurant location determines tax liability, not delivery location.
